One of the main reasons for doing this is to make sure that your letter has traceability, you want to know when it has arrived and that it is being dealt with. You are also going to want to have someone who you can communicate with in order to get things resolved.

When you have taken the time to write a complaint letter, you should expect to receive some kind of response, even if it is just to state that your feedback has been taken on board.

If you are complaining about something such as damage to your car, perhaps from poorly maintained roads, then you need to do your best to provide as much evidence as you can of the issue.

Take photographs of the damage that has occurred to your car, take photographs of the road where you believe it was damaged on and also ensure that you have sent through any evidence or receipts for what you will have paid out for in relation to the issue (such as work on your car or other transport).

Tell them what you want them to do

It is one thing to complain about something to highlight an issue, but what if you think that there is something that they need to change or do? If this is the case, then you need to make sure that your complaint letter contains the exact details of what you want them to do and what you expect from them.

This may include things such as getting your money back, being compensated for any additional costs that have occurred, demanding anything that is faulty is replaced, or receiving a free replacement.

Consider whether you should threaten legal action

This can be the hardest part of writing a complaint letter. Knowing whether or not to threaten legal action. You should only ever threaten this if you truly believe that you have a successful legal claim and that you would be willing to go through with this claim.
